 Other maintenance utilities

Special utilities for automatically updating all Document Assembly templates, unlocking records, refreshing the Tutorial, and resetting the server address for Amicus Anywhere are provided for use if necessary.

This topic covers:

Document Template Cleanup Utility

Automatically updates all Document Assembly templates in Amicus Attorney by removing all MSXML references.

  1. To begin the process, select Utilities under the Maintenance section in Firm Settings to display the following dialog.

  2. Click Cleanup at the bottom to display a prompt message informing you that all firm document templates will be scanned.

  3. Click Yes if you wish to proceed. This takes a few minutes. As this is a background process it does not affect your firm members.

    • The templates in your database are scanned one by one and all MSXML references are removed and saved.
    • The following prompt stating the Date and Time displays if the process was already completed.

    • You will also receive a prompt if Word is not installed asking you to "Please try again from a workstation that already has Word installed."
  4. A copy of the original template is kept under your Templates folder and a message displays informing you when the document template cleanup process is complete.

This utility may require users to temporarily adjust  Trust Centers in Word to allow programmatic access to the VBA object model, see Adjusting Trust Centers in Word.

Exchange Health Alerts

The Exchange Health Check alerts are designed to give a heads up to Firm Administrators whenever a problem is detected with the Exchange Contact & Calendar Synchronization.
Sticky notifications include the Date and Time. when an incident occurs so that the Firm Administrator knows when the issue occurred, and are able to take action.

Note: The system has also been further optimized preventing unnecessary alerts if a Firm's synchronization cycle takes more than 1 hour to complete.

Locked records

Warning: Unlocking records is an emergency function. Unwarranted use of emergency functions may result in data loss. Make sure that you only use this function if the situation meets the criteria described.

As users work with the database, they constantly open and close records. Each time a user opens a record, that record is locked so that only that user can change it. When the record is closed, it is then unlocked.

Occasionally, a record may remain locked after being closed—for example, if a user's computer is turned off while Amicus Attorney is running. When this happens, users may later complain that certain items (Files, Contacts, Events, etc.) are locked, even though they know no one else is using them. Unlocking all records solves this problem.

To unlock all records:

  1. Ensure that all other users have exited Amicus Attorney. If necessary, request users to log out.

  2. Go to the Office > Firm Settings, and click Utilities under the Maintenance heading to display the Maintenance - Utilities dialog.

  3. Click the Unlock All button.

Tutorial Office

In rare cases, the Tutorial Office might not open properly, or its sample data might not be adjusted relative to today's date. If this occurs, you can rebuild the Tutorial files for the firm.

  1. Go to the Office > Firm Settings, and click Utilities under the Maintenance heading to display the Maintenance - Utilities dialog.

  2. Click the Refresh button.

Warning: This is an intensive process that might affect application performance for users currently logged in.

Server address for Amicus Anywhere

When an Amicus Administrator gives the first Firm Member access to Amicus Anywhere, the address of the firm's Amicus Application Server is stored. If the Server is later moved to a new computer, or your Server's network communications card is changed, this information must be reset.

Important: We recommend that the reset be done with the Amicus Server using a wired connection to the Internet, rather than a wireless one.

  1. Go to the Office > Firm Settings, and click Utilities under the Maintenance heading to display the Maintenance - Utilities dialog.
  2. In the bottom section, click the Reset button to reset the Amicus Server address in the cloud.
  3. An email will be automatically sent to you and all other Amicus Administrators at your firm. Click the link in the email. (Only one Administrator needs to click the link.)
  4. In the Amicus Anywhere login page that appears, the following prompt displays:

"Your Amicus Server address has been reset. The reset may take up to 15 minutes to take effect and Amicus Anywhere users can log in."
