Specifying Document Settings for the firm > Document Management: Shared/Managed location
Go to the Office > Firm Settings and select Management under the Documents heading. Specify a documents location as appropriate.
If you wish to support full-text Document searching, the Shared Documents location must be on the Amicus Server. Specify the path to the Shared Documents location. You may specify a UNC path. Or, specify the local drive and complete path, relative to the Amicus Server—e.g. C:\Documents.
Users must reference this exact location—as either a UNC path (e.g., \\Alaska\SharedDocuments) or a mapped drive (e.g., Z:) in their Documents - Management document location preference.
Tip: We recommend a UNC path for this setting as well as the user preference for the Shared Documents location. |
This exact location must also be referenced as a location automatically indexed by your Indexing Service—see Full-text indexing.
In Amicus-Managed mode, the Managed Documents location setting is critical to the management of all documents. This is the location under which the managed documents structure will be maintained.
If you wish to support full-text Document searching, specify the path from the Server to the Managed Documents location, e.g. C:\SharedDocuments. Specify the local drive and complete path, relative to the Amicus Server. Do not specify a UNC path or a mapped drive.
This exact location must also be referenced as a location automatically indexed by your Indexing Service—see Full-text indexing.
Tip: Set the appropriate Windows security rights on the Managed Documents folder to ensure restrictions are enforced and managed by Amicus. To do this you can right-click on the folder in Windows Explorer, choose Properties on the shortcut menu that appears, click the Security tab in the Properties dialog, grant permissions to only one user or a group of users, and click OK. Grant permissions to only the Amicus Application Server remoting service ("SYSTEM") and one or more Amicus Administrators—this ensures that access to the documents will be controlled by Amicus record assignments and Restrictions. |
Note: If you change the location of the Managed Documents folder later, be sure to physically copy the entire contents of the previous folder to the new one (preserving the subfile structure). Also remember to set security rights and indexing on the new folder appropriately. |
Important: Do not delete, rename, or move the default "SharedDocuments" folder, even if it is not used by the firm. |
The Amicus Service cannot be started unless an \AMICUS\Amicus Attorney Server\SharedDocuments folder is present on the Amicus Application Server (and users will not be able to log in). In general, you should not delete, rename, or move any of the \AMICUS subfolders that were created during your Amicus Server installation.
